Set up SumUp – card payment with SumUp

With the club’s SumUp account, members can pay online, staff can take card payments at the bar and checkout, and members can pay their open amount by card themselves at the kiosk. This guide shows what works where and how to set it up.

First: what you should know

  • The money goes straight to the club’s SumUp account. We are not involved in the payment and receive nothing from it.
  • SumUp charges the club fees under its own terms; this is settled directly between SumUp and the club. See SumUp for current prices.
  • All SumUp features belong to online payment and are only included in the Pro plan. Whether card payments have tax or cash-register implications for you, please check with your tax adviser.

What SumUp can do

  • Pay online: in the app or WebApp the member taps “Pay” → “Pay with SumUp” on their own account and pays on SumUp’s payment page. SumUp decides which payment methods are offered there.
  • QR code at the kiosk: in the payment notice after sign-in, “Pay now” shows a QR code “Scan and pay by card” – the member pays on their own phone.
  • Payments taken by staff: at the bar and checkout, anyone allowed to collect payments picks the method “Card (terminal)”; the amount appears on the SumUp Solo (via the cloud) or on the Bluetooth reader (via the app).
  • New: self-payment at the kiosk. After signing in, the member pays their open amount at the card reader themselves – no treasurer needed.

Which card reader works where

  • SumUp Solo (Cloud): at the bar and checkout in the app and in the WebApp, also in the browser; at the kiosk on every device – app, WebApp and browser.
  • SumUp reader via Bluetooth (e.g. SumUp Air): at the bar and checkout only in the app on iPhone, iPad or Android; at the kiosk only in the app’s kiosk from version 1.2.
  • Bluetooth reader in the WebApp or browser: not possible – there only the Solo via the cloud works.
  • Paying online and the QR code at the kiosk need no card reader, only the connected SumUp account.
  • If Stripe is set up as well as SumUp, the QR code at the kiosk uses Stripe. In the app and WebApp the member sees both buttons.

What you need

  • The Pro plan for the organization. Without Pro the switches are greyed out with a plan hint next to them.
  • A SumUp merchant account for the club. Administration offers the link “No SumUp account yet? Open one now”.
  • An owner or administrator account for the organization in Administration (/admin) – only these roles may change payment credentials and pair readers.
  • For card readers: a SumUp Solo (cloud) or a SumUp reader with Bluetooth. Taking payments and signing in the Bluetooth reader require an account with the cash register permission.

Connect the SumUp account to the club

  1. Sign in at SumUp and create an API key under “Developers” → “API keys”. You find the Merchant Code in the profile of your SumUp account.
  2. Open /admin, choose the club on the left and go to “Contract & payments” → “Online payment”.
  3. In the “SumUp” card enter the “API key” and the “Merchant Code”.
  4. Click “Verify and save”. We check the credentials with SumUp right away; if that works, the card shows “Ready”. The credentials are stored encrypted.
  5. You do not need to create a webhook at SumUp: we request the Solo’s status updates ourselves with every payment, and a regular check books payments whose confirmation does not arrive right away.

Pair a SumUp Solo via the cloud

  1. Switch the Solo on and sign it out if someone is signed in. On the Solo choose “Menu” → “API” → “Connect”. The Solo shows a pairing code; it is valid for 5 minutes.
  2. In /admin open “Contract & payments” → “Online payment”. The “SumUp” card has the section “Solo terminal (Cloud API)” – it appears once the SumUp credentials are saved.
  3. Enter the code under “Pairing code”, give it a name such as “Bar” under “Name (optional)” and click “Pair”. The Solo confirms the pairing on its screen. You do not need a reader ID.
  4. The Solo then appears in the list with name, state and battery level. Several Solos are possible.
  5. To remove it, click “Disconnect” next to the Solo and then choose “Connections” → “API” → “Disconnect” on the device.

Sign in a SumUp reader via Bluetooth in the app

  1. On the device where the reader will work, sign in to the app with an account that has the cash register permission. This applies to each device separately – including the tablet that will later become the kiosk.
  2. Open “Settings”. There you find the section “Card terminal” – only in the app, only with the cash register permission and only if SumUp is ready under “Online payment”. If several readers are set up, choose “SumUp (Bluetooth)”.
  3. Tap “Connect terminal”. Sign in to SumUp’s screen with the club’s SumUp account and pair the reader there. The app never sees the credentials.
  4. The sign-in stays on the device. “Log out of SumUp/Zettle” signs the device out again. For the kiosk, start the kiosk on this device as usual afterwards – the reader sign-in remains.

Pay online – app, WebApp and QR code at the kiosk

  1. The member opens their account in the app or WebApp and taps “Pay”. If it says “You don’t have a member account in this list yet”, their sign-in is not linked to any account: enter their email address on the account in Administration under “Journals & accounts” → “Accounts”.
  2. They tap “Pay with SumUp” and pay the open amount on SumUp’s page.
  3. It is booked automatically once SumUp confirms the payment – on return or at the latest during the regular check. The member receives the receipt as a PDF by email.
  4. At the kiosk: if “Payment notice after sign-in” is switched on under “Operations” → “Kiosk” and dunning is active, the notice shows “Pay now”. The QR code “Scan and pay by card” opens the payment page on the member’s own phone – for exactly this amount and valid only for a short time.

Taking payments at the bar and checkout

  1. Open the member’s account in the app or WebApp and tap “Collect payment”. Choose the method “Card (terminal)”; if several readers are set up, the app asks “Which card reader?”.
  2. With the Solo the amount appears on the device at once; with the Bluetooth reader the app opens SumUp’s screen. The member holds their card or phone to the reader.
  3. It is only booked once SumUp confirms the payment. The member receives the receipt as a PDF by email; in /admin the payment appears under “Journals & accounts” → “Payment journal”.

Switch on card payment at the kiosk

  1. In /admin open the list and go to “Operations” → “Kiosk”. The same settings exist in the WebApp or app under “Settings” → “Admin area” → “Kiosk”.
  2. Tick “Card payment at the card reader”. It is off by default and can only be switched on with the Pro plan.
  3. Under “Card reader” choose either “SumUp Solo (Cloud)” or “SumUp Bluetooth (app 1.2 or later only)”. For the Solo pick the device under “Solo terminal”; left empty, “First paired Solo” is used.
  4. For the Bluetooth reader, first sign the kiosk tablet in to the reader once with the cash register permission as described above, and only then start the kiosk. In the WebApp and in older app versions the button does not appear.

How the member pays at the kiosk

  1. The member signs in at the kiosk. If something is open, the button “Pay by card at the card reader” appears at the top.
  2. The window “Pay by card” shows the amount – always exactly the open amount, it cannot be changed. They tap “Pay at the card reader now”.
  3. The screen changes to “Hold the card to the reader”. The member holds their card or phone to the reader and follows the instructions there; then “Payment in progress …” appears.
  4. Once SumUp confirms the payment, “Paid – thank you!” and the new balance appear. The member receives the receipt as a PDF by email.

Top up credit at the kiosk

  1. Under “Operations” → “Kiosk” (or in the app under “Kiosk”) tick “Top up credit by card at the kiosk”. It is off by default, needs the Pro plan and uses the same card reader. There you set the suggestions (default 10 20 50), the minimum amount (default 5) and the maximum amount (default 100) in the list currency.
  2. After signing in, the button “Top up credit” appears – even if nothing is open. The member taps a suggestion or chooses “Other amount” and types the amount on the keypad. The kiosk does not accept amounts outside the limits; the server checks them as well.
  3. With “Top up … at the card reader” it continues like paying: hold the card to the reader, “Payment in progress …”, then “Topped up – thank you!” and the new balance. The kiosk does not sign out automatically during the payment.
  4. It is only booked once SumUp confirms the payment. Any open amount is settled first, the rest becomes credit; receipt, email and payment journal show “Top-up” with payment method SumUp. You reverse a wrong top-up in the payment journal with “Reverse top-up” and refund the money in SumUp.

Cancelling and security

  • “Cancel” takes the amount off the Solo again. The message “Payment cancelled – nothing was booked.” appears.
  • If the confirmation does not arrive right away, the kiosk shows that SumUp is still confirming and asks not to pay again. The booking follows automatically once SumUp reports the payment.
  • It is only booked if SumUp confirms the payment with exactly this amount – as a settlement with payment method SumUp. A payment is never booked twice.
  • Each member only pays their own account and gets no staff permissions from it. The kiosk does not sign out automatically during the payment.

Frequent questions and errors

  • “The card reader is not signed in on this device – please contact the treasurer.”: at a kiosk with a Bluetooth reader nobody with the cash register permission has signed in to the reader on this device yet. Exit the kiosk, sign in as above, restart the kiosk.
  • Nothing arrives at the Solo: the Solo must be switched on, connected to the internet and paired. You see its state and battery under “Online payment” next to the Solo; if needed, “Disconnect” and pair again.
  • The button at the kiosk is missing: nothing is open, the switch is off, SumUp is not “Ready” – or Bluetooth is selected and the kiosk runs in the WebApp or in app 1.0/1.1. Then update the app in the store to version 1.2 or later, or choose the Solo.
  • “Verify and save” fails: the API key or Merchant Code is wrong. Create a new key at SumUp and enter both again.
  • Fees and payouts run exclusively through SumUp directly to the club. You see the fee in your SumUp account.
  • Refunds are made in SumUp. Sort such cases out with the member and, if needed, adjust the booking in Administration.
