Frequently asked questions
Answers about cash desk and hardware, direct debit and membership fees, bottle deposits, splitting rounds, polls, your tax advisor, data protection and pricing.
Do we need a cash register or special hardware? +
No. A tablet or smartphone is enough. drinklist.app runs in the browser and as an app for iOS and Android.
Does it work offline? +
No – on purpose. Every booking is confirmed and time-stamped by the server immediately, so bookings are never duplicated or lost.
Can we move from the classic drinks list? +
Yes, self-service at getraenkeliste.de/migration2027. Accounts, PINs, products, balances and the complete booking history are migrated. Your remaining paid term carries over, plus 6 months free. Members take their sign-in from the old app along with one tap – without re-entering their PIN.
Where is our data stored? +
Only on servers in Germany. We use no tracking, no ad networks and never share your data.
Can I set up a happy hour? +
Yes. Under price rules you create a happy hour with weekdays and times – as a percentage off or a fixed price, for everything, a category or single products. Member, guest and youth prices work the same way, as does a quantity discount per purchase such as “10 for 8” or “from 6 items 10 % off”. The server calculates the price when booking; if rules overlap, the cheapest price wins.
What is the TV mode? +
The TV / projector display shows your price list in large type on a TV or projector in the clubhouse – with a happy hour countdown and, if you like, donation pots and the leaderboard. It runs in the browser without login via a link or QR code, is read-only and can be revoked at any time. At the push of a button it also spins the wheel of fortune – “who pays for the round?”, drawn fairly by the server.
Is there Tap to Pay on iPhone? +
Soon. Card payments directly on the iPhone via your SumUp account are prepared and will be switched on once Apple has granted approval. Until then SumUp, PayPal, Stripe and GiroCode work as usual.
Can members pay by direct debit? +
Yes. The club adds its own Stripe or GoCardless account and switches on SEPA direct debit per list. Each member grants the mandate in the app. Once a month the open balance is collected after an advance notice by email – the money goes straight to the club, and we charge no extra fee.
Is prepaid possible – e.g. for the youth section? +
Yes. Set the credit limit of an account or a group to 0 – then bookings only work with credit. The treasurer tops up in the web app or the admin console: 10, 20, 50 or any amount, in cash, by bank transfer or direct debit.
Can we print receipts? +
Yes. Epson receipt printers with Server Direct Print and Star printers with CloudPRNT fetch sales receipts, Z reports and order tickets from our server by themselves – no PC, no port forwarding. Inexpensive ESC/POS receipt printers with a cutter connect through a small print proxy in your network, e.g. on a Raspberry Pi. Order tickets can be split across several printers by product group, and your club logo can appear on every receipt.
Does the app run on older iPads? +
The App Store app needs iOS or iPadOS 16 – which iPads from the 5th generation (2017), iPad mini from the 5th, iPad Air from the 3rd generation, every iPad Pro and iPhones from the iPhone 8 get. Older devices such as the iPad Air 2 or iPad mini 4 (iPadOS 15.8) use the WebApp in Safari: from iOS/iPadOS 15.4, put on the home screen as an app and locked as a kiosk with Guided Access. The guide "Older iPads and iPhones" shows it step by step.
Can it handle bottle deposits? +
Yes. You create deposit types and assign them to products – if you like, the deposit is charged automatically when booking. Deposit refunds are booked at the counter or cash desk, in cash or as a credit to the account; the empties stock is tracked in stock and inventory.
Can we split a round? +
Yes. At the counter – and, if you switch it on, at the kiosk too – a round is split to the cent across several accounts, even one crate for the whole team. At the kiosk everyone chipping in confirms with their own PIN. If you like, the wheel of fortune on the TV decides who pays for the next round.
Can our club hold a vote? +
Yes, with polls. Owners, administrators and managers create them in the web app or app under “News” or in the Administration. Members vote there or at the kiosk after signing in with a PIN – one vote per account, anonymous if you like. The TV display shows running polls with bars and a QR code for voting.
Does our tax advisor get the figures? +
Yes. There is the DATEV export as an EXTF posting batch, a readable posting list as CSV and the PDF annual report for the audit; receipts carry consecutive receipt numbers per year. Accounting software can also fetch the payment journal, revenue, Z reports and open items live via the API.
Can we collect membership fees too? +
Recurring membership fees stay in your member management, such as Campai or easyVerein – you take your members over from there. drinklist.app settles consumption, levies and credits; open balances are collected once a month by SEPA direct debit through your Stripe or GoCardless account.
What is an account? +
An account is a person or cost centre that bookings go to – for example a member. The package size depends only on accounts, not on the users managing them.
Do guests count? +
One guest account per regular list is free. On guest lists (up to 7 days, e.g. for a festival) any number of guest accounts are free.
Do multiple lists cost extra? +
With Pro you create unlimited lists and invite unlimited users, with Basic up to 2 lists. The free plan includes one list (plus guest lists), up to 3 accounts and up to 3 users.
What happens when we need more accounts? +
The next package applies immediately. You pay the difference pro rata until the end of the term – below €9.00 we charge nothing. If you need fewer accounts, the smaller package applies from the next term.
Why yearly packages only? +
Because it is simpler for everyone: one invoice a year instead of twelve, no pro-rata recalculations and no payment fees eating up small monthly amounts. Getting started costs €9.00 for a whole year.
How can I pay? +
Online via Stripe, PayPal or SumUp. You receive the invoice as a PDF by email.
Can I cancel at any time? +
Yes, at the end of the paid term. Afterwards up to 3 accounts remain free to use.
