Chapter 01

Booking & payments

Kiosk on the tablet with NFC chips, app in your pocket, card, PayPal or direct debit: every drink lands on the right account – and the money with the club.

Kiosk mode for the clubhouse: tap the account, enter the PIN, book the drink – the end-of-day report adds up to the cent.

More than one button per drink

On the tablet in the clubhouse everyone taps their account, puts everything in the cart and books with one tap. What else the kiosk can do:

    Tap several items, adjust with + and −, the total is shown large at the bottom – then “Book now”.

  • With or without PIN

    Accounts sign in with their PIN on a large keypad – or, if you prefer, with one tap and no PIN at all.

  • Large text, automatic sign-out

    Names and prices readable from two metres if you like. When nobody touches it, the kiosk returns to the account list after your chosen time.

  • Guests pay cash (optional)

    Can be switched on together with cash mode: guests without an account pick items, put the amount in the cash box and get a QR code for their receipt. Cancellations only with a manager’s account and PIN.

  • Settle at the kiosk (optional)

    If you like, members settle their account right on the tablet – electronically, never in cash.

  • Secure exit

    Only someone who knows the kiosk PIN can leave kiosk mode. You can block individual devices in the admin console at any time.

NFC chips: tap instead of typing

Hold a key fob or wristband to the tablet – and the account is signed in or the drink is booked. Plus an account list from A to Z and your own history right at the kiosk.

  • Sign in by chip

    Each account gets one or more chips. At the kiosk a tap replaces searching for names – the list’s PIN rules still apply. Lost chips are blocked with one click.

  • Book by chip (optional)

    Tap the chip, done: 1 × the member’s first favourite or an item you choose – with “Undo” in case it was the wrong one.

  • USB readers

    Inexpensive NFC readers that work like a keyboard run at the kiosk in the app and the WebApp – no input field, no setup.

  • iPhone and Android

    Android tablets with NFC read continuously; on the iPhone, “Scan chip” starts reading. Chips are assigned in the app, the WebApp and the admin console.

  • Account list from A to Z

    Instead of tiles, one row per account, sorted alphabetically by nickname or name – with a letter index to jump when there are many accounts.

  • History & request reversal

    After signing in, “History” shows your own bookings. Booked the wrong thing? “Request reversal” – a manager decides.

Payments – cash, card or online

Card reader at the bar or payment by phone: drinklist.app works with SumUp (Android and iPhone), PayPal POS (formerly Zettle, Android only) and Stripe. Your own credentials are stored, the money goes straight to you.

  • PayPal POS (formerly Zettle) – Android only

    Android app only: sign in to the Zettle Card Reader 2, pair it, tap the amount – done. This card reader is not available on iPhone.

  • Online with Stripe

    Members settle their account themselves in the app – by card, Apple Pay or Google Pay, straight to the club’s Stripe account.

  • Booked safely

    Every card payment is verified by the server with the provider. Only what has really been paid is booked – never twice.

Platform note: the PayPal/Zettle card reader works with the Android app only. The SumUp terminal uses standard Bluetooth and works with both the Android and the iPhone app. Stripe payments work on every device.

Automatic settlement

SEPA direct debit via Stripe or GoCardless

Open balances are collected automatically once a month by SEPA direct debit – through your club's own Stripe or GoCardless account. The money goes straight to you.

  • Your own provider account

    In the admin area you choose the provider – Stripe or GoCardless – and enter your account's access key. Debits run through your account and payouts go directly to the club's bank account.

  • Configurable per list

    Enable direct debit per list: collection day (1st to 28th of the month), minimum amount and advance notice (2 to 14 days).

  • Members set up the mandate

    Each member sets up their SEPA mandate in the app – on the provider's secure page, which also handles IBAN and mandate text. No paper forms.

  • With pre-notification

    Before every debit the member gets an e-mail with amount and date. On collection day at most the balance still open is collected.

  • Receipt after payment

    Nothing is booked until the provider confirms the payment. Then the receipt is issued as a PDF – by e-mail and in the payment journal.

  • Failed? Stays open

    If a debit fails, the amount stays open on the account and the member gets an e-mail. The mandate remains and the next month tries again. A later chargeback is reversed on the account.

Cover page, table of contents, summary and every chapter auditors and tax advisers want to see: the cash book for the financial year or any other period comes as one single PDF.

  • One click, one document

    "Cash book (PDF)" under "Reports & export" – in the Administration, the WebApp and the app. Without a period it covers the current financial year.

  • Summary first

    Revenue, payments received, purchasing, cost of goods sold and margin – plus what members still owe on the cut-off date and how much credit they hold.

  • Purchase book

    Every delivery with supplier, quantity, purchase price and margin. The purchase price is recorded with the delivery; purchases paid from the cash desk are included.

Connect your club management: members and mandates from Campai or easyVerein, direct debit for open balances, CSV import and export – plus an open API with webhooks.

    Members, SEPA mandates and invoices live in Campai or easyVerein. The sync brings names, birthdates, exits and direct-debit status – so you see at a glance who has a mandate. Matched by the ID in your club software, otherwise by e-mail.

Bar, events & club life

Print receipts

Receipts are printed directly on an Epson receipt printer in your network – via Epson Server Direct Print. The printer fetches its jobs from our server by itself, on 58 or 80 mm paper. Star printers connect via Star CloudPRNT. Inexpensive ESC/POS receipt printers with a cutter work through a small print proxy in your network (Docker, e.g. on a Raspberry Pi).

  • No open port, no PC

    The printer polls the server over HTTPS and receives receipts as ePOS-Print XML. No port forwarding, no PC or tablet at the bar – works behind any router.

  • Set up in a few minutes

    Add the printer in the admin console under "Receipt printers" and enter URL, ID and password in the printer's web configuration (Epson: Server Direct Print, Star: CloudPRNT). The password is shown only once.

  • Complete receipt

    Club logo, line items with VAT letter, discounts and price rules, total, payment type and VAT per rate.

  • Kitchen, bar and screen

    "What does this printer print?": receipts, Z report and order tickets per product group – food to the kitchen, drinks to the bar. Instead of paper, an order display on a tablet or TV works too.

  • Z report, test print, reprint

    Z report when closing the till, test print from the admin console, reprint from the job list – and optionally an automatic receipt for every cash sale.

Kitchen & bar

Kitchen and order display

Orders appear on a tablet or TV in the kitchen or at the bar – as large tiles with number, table and waiting time. Instead of paper or in addition to the order ticket.

  • Traffic light by waiting time

    Each tile shows how many minutes the order has been waiting. Past your own limits it turns yellow, then red.

  • In progress and done

    A tap marks an order as “in progress”; “done” takes it off the screen – with 10 seconds to undo.

  • Only what belongs here

    Each display shows only the items of its product categories – food in the kitchen, drinks at the bar – with notes such as “no mustard”.

  • No login, always awake

    Open the link from the admin console and you are done. New orders flash and beep, the screen stays on, full screen and installable as a web app on the home screen.

A crate for the team, ten beers for the price of eight, prepaid credit for the youth section: it is all calculated at booking – to the cent.

  • Quantity discount

    “10 for 8” or “from 6 items 10 % off” – for one product, a category or everything. Counted per purchase, also at the till and for QR orders; the cart instantly shows “10 for 8 applied – 2 free”.

  • The crate for everyone

    Splitting a round also works with fewer items than accounts: one crate for five players – everyone pays the same share, to the cent. At the counter evenly or by quantity.

  • Split a round at the kiosk (optional)

    Tap the people chipping in, each one confirms with their own PIN. It is only booked once everyone is in – all or nothing.

  • Top up credit

    10, 20, 50 or any amount – in cash, by bank transfer or direct debit. Open amounts are settled first, with a receipt marked “top-up”.

  • Credit limit per account or group

    Decide how far an account may go into the red – for the list, a group or a single account. A limit of 0 means prepaid, e.g. for the youth section.

  • Balances only for the treasurer (optional)

    If you like, bartenders and the counter only see their own balance, not everyone else’s. The credit limit still applies.

Horse race: who drinks their way to the front?

Just like at the funfair, only in the clubhouse: every booking moves your own horse a bit further – live on the TV, with galloping racehorses, jockeys and casino lights. Regulars against the board, youth team against the veterans.

  • 2 to 10 horses

    Each horse is an account or a team – an account group or several accounts. Name and colour are up to you.

  • Drinks or euros

    In drinks mode every unit booked counts, in euro mode the amount. Add a goal such as 50 drinks and, if you like, a single item or category and a time window.

  • Just like a casino

    Racehorses with jockeys gallop off as soon as someone books – with chasing lights, standings, hoofbeats and a starting bell. At the finish: the winner in large letters, confetti and a fanfare.

  • Fair and discreet

    Only the server calculates the standings from the bookings; reversals are subtracted. The display shows horse or team names, nicknames only with consent – never balances.

Wheel of fortune: who pays for the round?

One tap at the bar and the wheel spins on the TV in the clubhouse – with chasing lights, a drum roll and confetti. The server draws the winner fairly before the wheel even starts to move.

  • Just like a casino

    15 to 19 seconds of suspense: a fast start, a long roll-out, hesitating at the segment edges. Then a spotlight, the name in huge letters and a fanfare – afterwards the display shows the price list again.

  • Drawn fairly

    The server draws with cryptographic randomness and stores the result before the wheel starts. Every segment is equally likely – nothing can be influenced on the TV.

  • Names or whole sentences

    2 to 60 segments: take nicknames from the list with one tap or add your own texts such as “Everyone has a shot”. Balances never appear on the wheel.

  • Spun from the bar

    Bartenders and cashiers start the wheel in the admin area of the web app and the app or in the admin console – on one or all TV displays. The history shows who won when.

News & TV display

Polls: the whole club gets a vote

“Which beer should we try next week?” – ask the question, members vote on their phone or at the kiosk, and the bars rise live on the TV in the clubhouse. In anonymous polls, who chose what really stays secret.

  • Created under “News”

    Owners, administrators and managers ask a question with 2 to 20 answers – in the web app and app under “News” or in the Administration. It ends at a set time or by hand.

  • Vote on the phone or at the kiosk

    Every member with their own account votes right in the card under “News” – or at the kiosk after signing in with a PIN. One vote per account; guest accounts do not vote.

  • Single, multiple, own answers

    Single or multiple choice, optionally with a maximum. If you allow it, members add their own answers and can change their vote.

  • Anonymous means anonymous

    In anonymous polls the server stores the vote separately from the account: nobody, not even the administration, sees who chose what. Or ask with names on purpose.

  • Result live or only at the end

    The bars rise live – or the result stays hidden until the end. Until then even managers only see how many have voted.

  • Big on the TV

    The TV display shows running polls alternating with the price list – with bars, a countdown and a QR code for voting. It never shows names; at the end it shows the winner.
