Date of birth and custom fields

Members can enter their date of birth themselves – but it only counts for youth protection once a manager has checked it. In addition, the club creates its own custom fields, such as team or membership number.

First: youth protection cannot be unlocked by yourself

  • In lists with an age check, a self-entered date of birth only counts after a manager has confirmed it. Until then the account counts as “without date of birth” – no drinks with a minimum age.
  • The youth price always uses confirmed dates of birth only, also in lists without an age check.
  • Once a date is confirmed, the member can no longer change it – only the administration can.

Entering your date of birth (member)

  1. Open “My account” in the app or WebApp.
  2. Enter your date in the field “Date of birth” and tap “Save”.
  3. Until it is checked, it says “waiting for check”. You can still change or withdraw the entry.
  4. After the check it says “confirmed”, with the name and time of the check.

What applies until the check

  • List with age check: the account counts as “without date of birth”; alcoholic drinks and other items with a minimum age only with approval by a supervisor.
  • List without age check: the date applies immediately, but not for the youth price.
  • If the age check is switched on later, unchecked dates automatically appear in the review list.
  • Dates of birth entered by the administration or coming from Campai or easyVerein count as confirmed right away.

Checking dates of birth (administration)

  1. In the Administration (/admin) open “Youth protection” – or in the app the admin area → “Youth protection”.
  2. Under “Check dates of birth” you see all self-entered dates with age and time of entry.
  3. Ask to see the ID and tick “ID seen”.
  4. Tap “Confirm”. Name, time and the tick stay on the account as proof.
  5. If the date is wrong, tap “Reject”. The member can then enter a new date.

Setting up custom fields

  1. In the Administration (/admin) open the list and go to “Rules & import” → “Custom fields”.
  2. Create up to ten fields: text, number, date, choice or yes/no. The type cannot be changed afterwards.
  3. Decide whether the field is required, who sees it (administration only or the member as well) and whether the member may change it.
  4. Optional: map the field in the Campai or easyVerein sync to the membership number, entry date or exit date.
  5. Please do not record health data or other special categories of personal data.

Using custom fields

  • Under “Accounts” the fields appear as columns and are edited in the edit window. At the top you filter by a field value.
  • The CSV export of accounts contains all custom fields; the CSV import maps columns to fields by their label.
  • Members see visible fields under “My account” and may change the released ones there.
  • Charges, credits and rounds can be limited to a field value, e.g. “Team = First team”.
  • A removed field disappears from accounts, profile and filters.
