Chapter 01

Booking & payments

Kiosk on the tablet with NFC chips, app in your pocket, card, PayPal or direct debit: every drink lands on the right account – and the money with the club.

The tablet at the bar

Kiosk mode for the clubhouse: tap the account, enter the PIN, book the drink – the end-of-day report adds up to the cent.

Kiosk mode

More than one button per drink

On the tablet in the clubhouse everyone taps their account, puts everything in the cart and books with one tap. What else the kiosk can do:

Kiosk on a tablet: account Max Mustermann, tiles with quantities, cart at the bottom with 6 items, total €19.30 and button “Book now”
Cart at the kiosk
Guest cash sale at the kiosk: drinks and food as tiles, the purchase on the right with plus and minus, total €17.80 and button “Pay”
Guest pays cash (optional)
  • Cart with total

Tap several items, adjust with + and −, the total is shown large at the bottom – then “Book now”.

  • With or without PIN

Accounts sign in with their PIN on a large keypad – or, if you prefer, with one tap and no PIN at all.

  • Large text, automatic sign-out

Names and prices readable from two metres if you like. When nobody touches it, the kiosk returns to the account list after your chosen time.

  • Guests pay cash (optional)

Can be switched on together with cash mode: guests without an account pick items, put the amount in the cash box and get a QR code for their receipt. Cancellations only with a manager account and its PIN.

  • Settle at the kiosk (optional)

If you like, members settle their account right on the tablet – electronically, never in cash.

  • Secure exit

Only someone who knows the kiosk PIN can leave kiosk mode. You can block individual devices in the admin console at any time.

New at the kiosk Pro

NFC chips: tap instead of typing

Hold a key fob or wristband to the tablet – and the account is signed in or the drink is booked. Plus an account list from A to Z and your own history right at the kiosk.

  • Sign in by chip

Each account gets one or more chips. At the kiosk a tap replaces searching for names – the list’s PIN rules still apply. Lost chips are blocked with one click.

  • Book by chip (optional)

Tap the chip, done: 1 × the member’s first favourite or an item you choose – with “Undo” in case it was the wrong one.

  • USB readers

Inexpensive NFC readers that work like a keyboard run at the kiosk in the app and the WebApp – no input field, no setup.

  • iPhone and Android

Android tablets with NFC read continuously; on the iPhone, “Scan chip” starts reading. Chips are assigned in the app, the WebApp and the admin console.

  • Account list from A to Z

Instead of tiles, one row per account, sorted alphabetically by nickname or name – with a letter index to jump when there are many accounts.

  • History & request reversal

After signing in, “History” shows your own bookings. Booked the wrong thing? “Request reversal” – a manager decides.

Payments – cash, card or online Pro

Card reader at the bar or payment by phone: drinklist.app works with SumUp (Android and iPhone), PayPal POS (formerly Zettle, Android only) and Stripe. Your own credentials are stored, the money goes straight to you.

    sumup.com ↗
  • PayPal POS (formerly Zettle) – Android only

Android app only: sign in to the Zettle Card Reader 2, pair it, tap the amount – done. This card reader is not available on iPhone.

  • Online with Stripe

Members settle their account themselves in the app – by card, Apple Pay or Google Pay, straight to the club’s Stripe account.

  • Booked safely

Every card payment is verified by the server with the provider. Only what has really been paid is booked – never twice.

Platform note: the PayPal/Zettle card reader works with the Android app only. The SumUp terminal uses standard Bluetooth and works with both the Android and the iPhone app. Stripe payments work on every device.

Automatic settlement Pro

SEPA direct debit via Stripe or GoCardless

Open balances are collected automatically once a month by SEPA direct debit – through your club's own Stripe or GoCardless account. The money goes straight to you.

Payments processed by Stripe GoCardless
  • Your own provider account

In the admin area you choose the provider – Stripe or GoCardless – and enter your account's access key. Debits run through your account and payouts go directly to the club's bank account.

  • Configurable per list

Enable direct debit per list: collection day (1st to 28th of the month), minimum amount and advance notice (2 to 14 days).

  • Members set up the mandate

Each member sets up their SEPA mandate in the app – on the provider's secure page, which also handles IBAN and mandate text. No paper forms.

  • With pre-notification

Before every debit the member gets an e-mail with amount and date. On collection day at most the balance still open is collected.

  • Receipt after payment

Nothing is booked until the provider confirms the payment. Then the receipt is issued as a PDF – by e-mail and in the payment journal.

  • Failed? Stays open

If a debit fails, the amount stays open on the account and the member gets an e-mail. The mandate remains and the next month tries again. A later chargeback is reversed on the account.

Guide: set up direct debit No extra fee from us – only the fees of Stripe or GoCardless apply.

  • Cash desk and Z reports

Revenue per category and item, corrections and cancellations, and payments per payment method including fees.

  • Balances with reconciliation

Open balances at the start and end of the financial year with a reconciliation – plus cash desk, stock-take differences and donations.

The annual report follows the organisation's language: German or English.

Connected to your club management Pro

Club management, direct debit and data

Connect your club management: members and mandates from Campai or easyVerein, direct debit for open balances, CSV import and export – plus an open API with webhooks.

  • Campai or easyVerein leads

Members, SEPA mandates and invoices live in Campai or easyVerein. The sync brings names, birthdates, exits and direct-debit status – so you see at a glance who has a mandate. Matched by the ID in your club software, otherwise by e-mail.

  • Direct debit under control

Collect open balances by SEPA direct debit through your Stripe or GoCardless account – with pre-notification by e-mail – or create an invoice in Campai or easyVerein. A failed debit stays open and goes to dunning.

  • Import & export

Accounts, products and prices in by CSV – always with preview and approval; bookings and reports out as CSV, Excel or PDF. Nothing is booked silently.

  • API & webhooks

Open REST API with documentation and webhooks for events such as booking, payment and settlement – for your club software or your own reporting.

Till & receipts Pro

Print receipts

Receipts are printed directly on an Epson receipt printer in your network – via Epson Server Direct Print. The printer fetches its jobs from our server by itself, on 58 or 80 mm paper. Star printers connect via Star CloudPRNT. Inexpensive ESC/POS receipt printers with a cutter work through a small print proxy in your network (Docker, e.g. on a Raspberry Pi).

  • No open port, no PC

The printer polls the server over HTTPS and receives receipts as ePOS-Print XML. No port forwarding, no PC or tablet at the bar – works behind any router.

  • Set up in a few minutes

Add the printer in the admin console under "Receipt printers" and enter URL, ID and password in the printer's web configuration (Epson: Server Direct Print, Star: CloudPRNT). The password is shown only once.

  • Complete receipt

Club logo, line items with VAT letter, discounts and price rules, total, payment type and VAT per rate.

  • Kitchen, bar and screen

"What does this printer print?": receipts, Z report and order tickets per product group – food to the kitchen, drinks to the bar. Instead of paper, an order display on a tablet or TV works too.

  • Z report, test print, reprint

Z report when closing the till, test print from the admin console, reprint from the job list – and optionally an automatic receipt for every cash sale.

  • Your club logo

Upload the logo once in the admin console. It appears on receipts, PDF documents and the TV display.

Chapter 03

Bar, events & club life

Cash sales, QR ordering and an order display for the bar, rounds, discounts and credit – on the TV the horse race, wheel of fortune, Hangover Hilde, Bruchpilot Rüdiger and polls. Plus events with guest lists, deposits and donations.

Kitchen & bar Pro

Kitchen and order display

Orders appear on a tablet or TV in the kitchen or at the bar – as large tiles with number, table and waiting time. Instead of paper or in addition to the order ticket.

  • Traffic light by waiting time

Each tile shows how many minutes the order has been waiting. Past your own limits it turns yellow, then red.

  • In progress and done

A tap marks an order as “in progress”; “done” takes it off the screen – with 10 seconds to undo.

  • Only what belongs here

Each display shows only the items of its product categories – food in the kitchen, drinks at the bar – with notes such as “no mustard”.

  • No login, always awake

Open the link from the admin console and you are done. New orders flash and beep, the screen stays on, full screen and installable as a web app on the home screen.

Order display on the test system: tiles with order number, table, waiting time in minutes marked yellow and red, items and buttons “in progress” and “done”

Rounds, discounts, credit

Drink together, pay fairly

A crate for the team, ten beers for the price of eight, prepaid credit for the youth section: it is all calculated at booking – to the cent.

Kiosk on a tablet: ten pilsners in the cart, hint “10 for 8 applied – 2 free”, total €28.00 and buttons “Split round” and “Book now”
Quantity discount in the cart
Split round at the kiosk: €2.53 to €2.54 per account for Max Mustermann, Erika Musterfrau and Hans Beispiel, total €7.60, hint “Fewer items than people – everyone still pays the same share” and button “Confirm now”
Split a round at the kiosk (optional)
  • Quantity discount

“10 for 8” or “from 6 items 10 % off” – for one product, a category or everything. Counted per purchase, also at the till and for QR orders; the cart instantly shows “10 for 8 applied – 2 free”.

  • The crate for everyone

Splitting a round also works with fewer items than accounts: one crate for five players – everyone pays the same share, to the cent. At the counter evenly or by quantity.

  • Split a round at the kiosk (optional)

Tap the people chipping in, each one confirms with their own PIN. It is only booked once everyone is in – all or nothing.

  • Top up credit

10, 20, 50 or any amount – in cash, by bank transfer or direct debit. Open amounts are settled first, with a receipt marked “top-up”.

  • Credit limit per account or group

Decide how far an account may go into the red – for the list, a group or a single account. A limit of 0 means prepaid, e.g. for the youth section.

  • Balances only for cashiers and managers (optional)

If you like, bartenders and the counter only see their own balance, not everyone else’s. The credit limit still applies.

Horse race: which team is in front?

Just like at the funfair, only in the clubhouse: every booking moves your own horse a bit further – live on the TV, with galloping racehorses, jockeys and chasing lights. First team against the board, bowling club against the fire brigade. It counts drinks or euros – or, if you like, just one category such as alcohol-free drinks.

Horse race “Großer Preis vom Vereinsheim” (clubhouse grand prix) on the TV display: ten lanes with galloping racehorses and jockeys, goal: 40, standings on the right with Kegelclub (bowling club) in front
The race is on – live on the TV
Horse race after the finish: “Sieger” (winner) and “Kegelclub” in large letters, below it “Startnummer 4 · 40” (number 4 · 40), confetti all around
The finish with winner and confetti
  • 2 to 10 horses

Each horse is an account or a team – an account group or several accounts. Name and colour are up to you.

  • Drinks or euros

In drinks mode every unit booked counts, in euro mode the amount. Add a goal such as 50 drinks and, if you like, a single item or category – such as alcohol-free drinks – and a time window.

  • A big show

Racehorses with jockeys gallop off as soon as someone books – with chasing lights, standings, hoofbeats and a starting bell. At the finish: the winner in large letters, confetti and a fanfare.

  • Fair and discreet

Only the server calculates the standings from the bookings; reversals are subtracted. The display shows horse or team names, nicknames only with consent – never balances. No betting.

TV display Pro

Wheel of fortune: whose turn is it?

One tap at the bar and the wheel spins on the TV in the clubhouse – with chasing lights, a drum roll and confetti. The server fairly draws whose turn it is next before the wheel even starts to move.

Wheel of fortune “Wer ist dran?” (whose turn is it?) on the TV display: twelve colourful segments with first names and “Applaus für die Theke” (a round of applause for the bar), a golden rim with chasing lights and a red pointer
The wheel spins – live on the TV
Wheel of fortune after the spin: spotlight on the segment “Hannes”, above it “Das Rad hat entschieden” (the wheel has decided) and the name in large letters, confetti all around
The winner with spotlight and confetti
  • A big show

15 to 19 seconds of suspense: a fast start, a long roll-out, hesitating at the segment edges. Then a spotlight, the name in huge letters and a fanfare – afterwards the display shows the price list again.

  • Drawn fairly

The server draws with cryptographic randomness and stores the result before the wheel starts. Every segment is equally likely – nothing can be influenced on the TV.

  • Names or whole sentences

2 to 60 segments: take nicknames from the list with one tap or add your own texts such as “A round of applause for the bar”. Balances never appear on the wheel – and nobody spins for money.

  • Spun from the bar

Bartenders and cashiers start the wheel in the admin area of the web app and the app or in the admin console – on one or all TV displays. The history shows who won when.

Hangover Hilde: every booking rolls the dice

Hilde stands at the bar – and she is the only one drinking. Every booking by a player rolls 1 to 4 sips for her; alcohol-free drinks count just the same. Whoever pushes Hilde over her secret limit wins – and you decide what.

Hangover Hilde on the TV display: Hilde at the bar with a mug and a bucket, 2.2 per mille on the scale, six players with their bookings and absinthe status, a die showing three and “Ben hat gebucht” (Ben booked)
Hilde at the bar – live on the TV
Hangover Hilde after the end: “Hilde kotzt!” (Hilde throws up), “Ben” in large letters, below it “hat Hilde über die Kante gebracht” (pushed Hilde over the edge) and “Gewinn: Applaus der ganzen Theke” (prize: applause from the whole bar)
The end with the winner and your prize
  • 2 to 30 players

Members join themselves in the app on the “Book” page – and thereby agree that their nickname appears on the TV. Not possible at the kiosk or with guest accounts.

  • Dice, absinthe, per mille

The server rolls the dice for every booking; every 3rd booking earns an absinthe for Hilde that counts 5. The TV shows Hilde’s per mille, the players and the latest rolls – live.

  • Prize of your choice

You set what the winner gets when you open the game – without one, “Applause from the whole bar”. It is only shown, nothing is booked, and under the acceptable use policy it stays symbolic.

  • Fair and limited

The server rolls Hilde’s limit at the start and tells nobody. The game ends after 8 bookings per player or 30 minutes at the latest. Not for youth events.

New on the TV display Pro

Bruchpilot Rüdiger – Keine Kapriolen!

Rüdiger circles over your houses in his biplane – and keeps diving at one of them. Only whoever presses “Ahh, Rüdiger nicht so tief!” (“Ahh, Rüdiger, not so low!”) in the app in time saves their roof. A pure reaction game: no alcohol, no stakes.

Bruchpilot Rüdiger on the TV display: a red biplane diving at Dana’s house with a red ring on the ground and a countdown bar, at the top the banner “Dana – Rüdiger nicht so tief!” (Dana – Rüdiger, not so low!), around it houses with names and hearts – one is just rubble, one is on fire; in the header “5 von 6 Häusern stehen” (5 of 6 houses standing) and “Tempo ×1,7”
Nosedive – live on the TV
Bruchpilot Rüdiger after a crash: a big “BUMM!” (boom) on Dana’s roof, only two of four hearts left below her name, in the header “Tempo ×1,8”
Pressed too late: boom!
  • 2 to 8 players

Members join in the app on the “Book” page before the start – everyone gets a house on the TV with their nickname and 4 lives. It does not work at the kiosk or with guest accounts.

  • “Ahh, Rüdiger nicht so tief!”

The big button is in the app and only counts while Rüdiger is above your own house. After every press it is locked for 3 seconds – press too early and you lose precious time.

  • Boom!

Too late? Then Rüdiger crashes onto the roof – one life less, a crack, a hole in the roof, fire. After every crash he flies 5% faster.

  • Last house wins

Whoever keeps their house standing longest wins. After 30 minutes at the latest it is over – then the most lives count. The prize is only shown on the TV, nothing is booked; under the acceptable use policy it stays symbolic.

News & TV display Pro

Polls: the whole club gets a vote

“Which beer should we try next week?” – ask the question, members vote on their phone or at the kiosk, and the bars rise live on the TV in the clubhouse. In anonymous polls, who chose what really stays secret.

Poll on the TV display: “Wohin geht der Vereinsausflug im Frühjahr?” (where is the club trip going in spring?) with four answers as bars with percentages and votes, a countdown to the end and the QR code “Mit dem Handy abstimmen” (vote on your phone)
Live on the TV – with a QR code for voting
Final result of the poll “Neue Farbe für die Vereinstrikots?” (a new colour for the club shirts?): Gelb-Schwarz (yellow and black) wins with 55 percent ahead of Blau-Weiß and Grün, 31 members voted
Final result with the winner
  • Created under “News”

Owners, administrators and managers ask a question with 2 to 20 answers – in the web app and app under “News” or in the Administration. It ends at a set time or by hand.

  • Vote on the phone or at the kiosk

Every member with their own account votes right in the card under “News” – or at the kiosk after signing in with a PIN. One vote per account; guest accounts do not vote.

  • Single, multiple, own answers

Single or multiple choice, optionally with a maximum. If you allow it, members add their own answers and can change their vote.

  • Anonymous means anonymous

In anonymous polls the server stores the vote separately from the account: nobody, not even the administration, sees who chose what. Or ask with names on purpose.

  • Result live or only at the end

The bars rise live – or the result stays hidden until the end. Until then even managers only see how many have voted.

  • Big on the TV

The TV display shows running polls alternating with the price list – with bars, a countdown and a QR code for voting. It never shows names; at the end it shows the winner.

Chapter 04

Security & trust

Your data belongs to you: full export at any time, servers in Germany, youth protection checked on the server, no tracking and no ads.

Data ownership

Your data belongs to you

Everything you record in drinklist.app you can get back in full at any time – in open formats, for all years and at no extra cost.

  • Full export as ZIP

One click in the admin console: all reports as CSV, cash books and annual reports as PDF, plus accounts, products, price rules, memberships and suppliers – for all years, archived accounts included.

  • Under the GDPR

The export helps you as the controller to answer your members' access requests (Art. 15 GDPR) and to hand over data in a common format (Art. 20 GDPR). Servers in Germany, data processing agreement under Art. 28 GDPR.

  • No lock-in

Open formats instead of a data silo: CSV with semicolons and UTF-8 opens directly in Excel and LibreOffice and can be imported into other software. If you want to switch, you take everything with you.

  • Secure: code to the owner

Only the owner can request and download it. Every download needs a one-time code sent by e-mail – a password alone is not enough. Finished exports are deleted after 7 days.

  • Cash register and TSE data included

Cash sessions, Z reports and cash movements are included as CSV and in the cash book. Existing TSE and DSFinV-K exports go into the package too.

  • Always available

The export is available in every plan – including the free tier after a plan ends. Even if an organisation is suspended or locked, the data stays exportable.

  • Moving to us is just as easy

Import accounts, products and prices as CSV from Excel or take them over from Campai or easyVerein. Customers of the classic drinks list move over by self-service (/migration2027) – with their booking history.

  • Automatic, encrypted backups Pro

Daily or weekly, we automatically put the full export on your Nextcloud, NAS or cloud storage – encrypted with your own password or key. We keep the file for 24 hours at most.

Your records, your retention

Clubs and businesses usually have to keep their accounting and cash records themselves – statutory retention obligations often run for several years depending on the document (in Germany up to 10 years). With the full export, the cash book and annual report as PDF and the DSFinV-K/TSE export you can back up your records yourself at any time and archive them independently of us – even after cancelling your plan.

Retention remains your responsibility – if in doubt, ask your tax adviser which records you need to keep and for how long.
